Office Manager
Split time between Union, NJ (main campus) and Jersey City, NJ (branch campus)
Position Title: Office Manager – Full-time
The Kean Federation of Teachers is a labor union that represents faculty, lecturers, professional staff and librarians at Kean University. This position will split time between the KFT offices at Kean University’s main campus in Union, NJ, and its branch campus in Jersey City, NJ.
Job Summary: This is a five (5) day a week position to ensure the smooth operation of the Kean Federation of Teachers – Local 2187, AFT, AFL-CIO. Under the general supervision of the KFT President and Treasurer, the office manager carries out the day-to-day functions of the KFT office. The office manager offers support to the KFT officers and the multiple committee chairpersons in carrying out their respective charges.
The office manager must have a basic understanding of the Contract/Agreement between the State of New Jersey and the Council of NJ State College Locals to assist members in general inquiries. The office manager should also have a working knowledge of the Kean Federation of Teachers Constitution and By-laws by which the local is governed.
Duties and Responsibilities:
- Provides daily secretarial and office administrative assistance for the smooth operations of the KFT including establishing work priorities; assists in resolving problems related to the day-to-day operations of the KFT.
- As appropriate to the position, provides secretarial and administrative assistance and support to the KFT Executive Council.
- Interfaces with union members by phone and email; receives and processes telephone calls, email and mail from other individuals and outside agencies.
- Maintains and updates membership records in ActionNetwork, Connect, COPE, and Access databases and generally assists the Membership & COPE Committees.
- Types letters, reports, correspondence, etc. when needed. Photocopies same where necessary and handles related postage and mailing.
- Maintains records of confidential nature dealing with the work of the KFT, and maintains strict confidentiality of these records and other internal information.
- Coordinates KFT meetings; assists with conference and travel arrangements.
- Interfaces with Webmaster and editor of KFT Voice.
- Prepares calendar of events; maintains office supplies.
- Receives, records and processes billing invoices and reimbursements to be remitted to the Treasurer for payment approval.
- Maintains all office files including materials in storage unit.
- Disseminates information from the President to the membership via email, campus mail or US mail.
- Maintains working relationship with: the Kean University administrative staff, including internal departments with whom the KFT may interact; the Council of New Jersey State College Locals; AFTNJ; AFT National; and outside vendors.
- Operates standard office equipment, such as personal computers, various software, copiers, folding machine, postage meter, etc.
- Maintains and updates KFT social media accounts on FaceBook, Bluesky, and X (formerly Twitter).
- Other duties as assigned.
Qualifications:
- Associates Degree or three (3) years of experience in office work
- Excellent computer skills including proficiency in MS Office software including Word, Excel, Access, and Outlook and MS Explorer for using the internet and the creation and use of Google documents.
- Knowledge of general office equipment such as multi-line telephone system, postage meter, copiers, printers, fax machine, etc.
- Strong organizational skills and ability to work independently with limited direction.
- Ability to receive and where possible address member dissatisfaction or concerns.
- Commitment to protect the reputation and integrity of others through strict confidentiality.
- Excellent written and oral communication skills.
- Familiarity with AFT software programs, such as Membership Suite, Leadernet, Toolkit, ActionNetwork, and Connect is desirable.
- Familiarity and support of the labor movement in general is desirable.
Pay is $22 – $25 per hour, commensurate with experience.
