POSITION OVERVIEW
The Airports Division Admin Manager serves as the operational backbone of the Airports Division, overseeing all administrative, HR, logistical, and office management functions that keep the division running smoothly. This role leads HRP workflows, staffing coordination, evaluations, and workforce tracking; manages logistics for bargaining sessions, member/leader meetings, and staff events; and provides consistent onsite oversight of the Queens office. The Manager maintains division-wide systems such as calendars, metrics, contract files, and documentation; coordinates contract signatures and printing; and partners closely with district administrators, Office Operations, HR, and the Contracts & Dues team to ensure alignment and compliance.
DUTIES, TASKS, AND RESPONSIBILITIES
- HR & Workforce Operations Management
- Lead all HRP workflows, including new hires, Brigade staffing, HRP reconciliation, and timesheet processes.
- Track all staffing slots, coordinate evaluation processes (staff & leader), and maintain division wide workforce tools such as the common calendar, metrics dashboards, and leaders chart.
- Oversee lost time submissions (especially during bargaining cycles) and support district administrative staff with Brigade paperwork and expense submission.
- Administrative Systems, Documentation & Contract Oversight
- Manage Airports Division document systems, including contract files, signature routing, and printing/distribution processes.
- Maintain digital organization of division documents, meeting files, and administrative records.
- Serve as liaison with the Contracts & Dues team for account management and compliance follow-up.
- Logistics, Event Management & Meeting Support
- Oversee logistics for bargaining sessions, member and leader meetings, large staff meetings, and division events, coordinating with frontline staff and district administrators.
- Manage Teams meeting scheduling, agendas, note-taking, and follow-up tasks for internal union meetings.
- Ensure smooth processing of physical card entry, event participation entry, and survey input during bargaining cycles.
- Office Oversight & Cross-District Coordination
- Maintain weekly onsite presence in the Queens office to manage materials, supplies, and equipment needs with Office Operations.
- Coordinate administrative workflows across districts (NY, BOS, NJ, PHL, CAD, FL) related to Brigade staffing, events, Concur (non-staff travel), and shared airport initiatives.
- Support grievance intake structure, ensuring proper intake routing from Queens and alignment with local grievance teams.
- Financial, Budgetary & Leadership Support
- Manage check requests, invoice processing, Concur approvals, and BP Logix workflows.
- Support budget tracking, spending reviews, and financial coordination for the Airports Division.
- Provide administrative support to the Director and Deputy Director, including scheduling, meeting coordination, and internal communications.
QUALIFICATIONS
- Bachelor’s degree required (business administration, public administration, labor relations, or related field preferred).
- Minimum of five (5) years of progressively responsible administrative or operations experience, ideally in a union, nonprofit, or multi-site environment.
- Track record of taking initiative and proactive problem-solving skills
- Demonstrated ability to manage complex administrative workflows and coordinate across multiple departments and districts.
- Strong judgment, discretion, and problem-solving skills, including experience handling confidential information.
- Excellent written and verbal communication skills and the ability to build relationships with diverse staff, leaders, and stakeholders.
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint) and comfort with workflow systems such as HRP, Concur, or BP Logix.
- Exceptional organizational and time management abilities, with a proven capacity to manage high-volume tasks and meet tight deadlines.
- Commitment to social justice, worker empowerment, and advancing the Union’s mission.
- Bilingual speakers are preferred, but not mandatory, (English & Spanish).
COMPENSATION & BENEFITS
The salary this role starts at is $80,000 + based on experience. 32BJ offers a generous benefits package that includes full employer-paid medical, dental and vision plan (for full-time employees and their qualified dependents) and retirement benefits, including a defined benefit pension plan and 401K. 32BJ offers paid time off including three weeks’ vacation, eleven holidays, twelve sick days and four personal days. The union currently offers a remote work policy of one remote day per week at the discretion of the manager.
