Administrative Secretary
Eastern Territory Office

Based in Augusta, ME

 

The International Association of Machinists and Aerospace Workers (IAM) is a trade union representing 600,000 active and retired members in the North American aerospace, defense, airline, manufacturing, transportation, woodworking, and other industries.

The IAM seeks to fill an Administrative Secretary bargaining unit position in the Eastern Territory office in Augusta, Maine

Qualification Requirements – Must have general knowledge or specialized experience as described below. However, the successful bidder may be allowed up to thirty (30) days to demonstrate satisfactory ability to perform the essential job functions and operate the software and equipment listed below:

Office/Special Skills:

  • Typing: 55 wpm
  • Proficient in Microsoft Office Suite
  • Email (internet and intranet)
  • Good organizational skills and proficiency in record-keeping
  • Good communication, writing, and editing skills
  • Familiarity with IAM Collective Bargaining Agreements, NLRB filings, complaints, and ULPs
  • Familiarity working with databases
  • Learning IAM systems, including VLodge

Software Skills:

  • Microsoft Office Programs – Word, Excel, PowerPoint, Access, Outlook, and Adobe

Duties and Responsibilities:

  • Assist Chief of Staff with administrative duties, which include travel, calendar and incoming calls
  • Maintain and track NLRB correspondence
  • General office work including handling requests from Districts and Locals and keeping track
  • Interface with members and District & Local leadership
  • Scanning, copy work & faxing
  • Telephone management skills
  • Maintaining correspondence, files, and records
  • Preparing and editing memos, letters, tables, reports, presentations, etc.
  • Basic database creation and maintenance 
  • Proficient at proofreading and editing
  • Timeline / prioritize workflow
  • Self-motivated and organized
  • Assist office staff in all aspects of preparing for virtual and in-person meetings and conferences
  • Other administrative duties as assigned 

Salary: $43.33 per hour to start and comprehensive benefits package including employer-paid family health care, dental, eye, and a defined benefit pension.
