Administrative Coordinator
(Full-Time)
Based in Federal Way, WA

- Salary range (LEVEL 3) - $82,324 to $113,039

Responsibilities:
- Ensure timely pick-up and accurate distribution of USPS office mail. Coordinate this effort with accounting and membership staff.
- Coordinate with vendors (UPS, Johnson-Cox, Iron Mountain, etc.) to ensure deliveries/pickups are promptly and accurately handled for HQ.
- Process and deliver all outgoing USPS mail.
- Responsible for all outgoing shipping and delivery requests for HQ.
- Scan and email all necessary invoices, reports, etc. to the appropriate department or staff.
- Enter all membership drop requests into NEA360.
- Regularly update the internal staff directory.
- Responsible for the supply levels and routine maintenance of equipment as it relates to the postage meter, UPS computer, and copy machines in the copy enter.
- Ensure postage, business reply permits, and other associated necessities are properly maintained for uninterrupted business in the copy center.
- Order and maintain all paper inventory for HQ.
- Schedule HQ meeting rooms for both internal staff and external partners via the master calendar.
- Check and return voicemails or re-route them as appropriate.
- Coordinate with the Light Maintenance Tech/Custodian/Grounds to ensure safety and health equipment (e.g., masks, etc.) are made available to HQ or Councils.
- Coordinate with shredding company to ensure all bins are emptied as necessary.
- Update signage around HQ as necessary.
- Provide virtual or in-person support for the annual RA (Representative Assembly).
- Access the safe and mail out A/P (Accounts Payable) checks as needed.
- When directed, assist other departments in HQ with various special projects which may include inventory, meeting preparation, printing support, purchasing support, communications, etc.
- Reporting, invoicing, tracking, coding as deemed necessary and appropriate for cost center BC01.
- Process staff vouchers as directed.
- Provide in-person support as requested or deemed appropriate for HQ staff, vendors, leaders, members, etc.
- May order supplies for the HQ front desk, copy center, or other departments.
- Other duties as assigned.
Minimum Qualifications:
- High school diploma or GED equivalent.
- Demonstrated experience providing high-level administrative coordination and logistical support in environments that require independent decision-making, discretion, and the ability to support organizational leaders or cross-departmental functions.
- Ability to operate standard office equipment.
- Experience with and ability to learn various technologies including Microsoft 365, membership data system (NEA360), remote collaboration, etc.
- Familiarity with master calendar meeting room scheduling.
- Strong project management and organizational skills.
- Effective communication and strong interpersonal skills.
- Self-starter with demonstrated initiative and flexibility with changing priorities.
- Detail-oriented; ability to effectively prioritize work.
- Proven success in building and maintaining cooperative and productive relationships with diverse individuals internally and externally.
- Ability to keep sensitive information confidential.
- Ability to work evenings and weekends as needed.
- Ability to travel within Washington state occasionally and overnight if required.
- Ability to move objects up to fifty (50) pounds on a consistent basis.
- Must support and help advance the WEA mission, goals, core values, and priorities.
- Must be able to work in person at WEA Headquarters in Federal Way, WA.

Supervision
The successful incumbent will function as a member of the Support Services Center and will report to the Director of Human Resources and Facilities.
